A Buyer's Checklist for Subscription Billing Software

The questions worth asking any vendor before you trust them with your billing -- payouts, plan flexibility, client experience, and support.

Once you've decided subscription pricing fits your practice, the harder decision is who you trust to run the billing. This is money moving automatically out of your clients' accounts and into yours every month — worth a real evaluation, not just whichever tool shows up first in a search. Here's what actually matters, beyond a features page.

Billing and payments

Plan flexibility

Your first set of tiers won't be your last. Confirm you can add a plan, retire one, or change an allowance without migrating existing subscribers — and that a client changing plans mid-cycle is handled with sane proration, not a support ticket.

Client experience

This is worth its own evaluation — see the client portal checklist for what a subscriber should be able to do without calling your office, and the scheduling piece for whether booking a call actually respects a client's plan allowance.

Support and migration

Ask how existing clients get moved onto the new system, and whether that migration requires a developer on your end. A tool built for law firms specifically should let you configure plans and allowances yourself, without engineering help — if every change requires a support ticket to the vendor, that's a real ongoing cost you should price into the decision.

The best test of any billing vendor isn't their pitch — it's what happens the first time a client's card fails at 2am. Ask them to walk you through that exact scenario.
